Electronic Document Delivery Use Spreads Like Wildfire

In 2004, Eastman Credit Union engaged SwiftView to enable secure delivery of closing documents. By turning to SwiftView, they sought to reduce the time and cost associated with the delivery of closing documents via courier.

Within short order, Eastman Credit Union realized the vast, enterprise-wide applications for secure document delivery. In a matter of months, SwiftSend's use extended beyond the Mortgage Lending department. Soon the Auto Loan and Business Services departments started using it, too, and more departments were expected to follow.

The Challenge 

Kingsport, Tennessee-based Eastman Credit Union was originally established for employees of Eastman Chemical, but in recent years had expanded to locations in multiple states and had achieved much broader membership. With their growth, though, came new challenges such as the delivery of closing documents.

"Like most everyone else in our line of business, we had been delivering closing documents by local courier," explains Dolly Linkous, Manager of Mortgage Lending at Eastern Credit Union. "But as the area we served grew, that got to be impractical and expensive, especially if last minute changes occurred. So we considered e-mailing closing documents, but we weren't comfortable with members' private information being transmitted via standard e-mail which is not secure."

The Solution 

For the delivery of closing documents, Eastman Credit Union's Mortgage Lending division decided to leverage SwiftView's SwiftSend electronic document delivery service as a far better alternative to non-secure standard e-mail or costly couriers.

"My department, Mortgage Lending, was the first to use the SwiftSend electronic document delivery service," states Linkous. "We quickly found substantial benefits from using it and have been very happy with it."

The popularity of the new SwiftSend electronic document delivery service was so great that the word spread around Eastman Credit Union like wildfire. "When something works this well and is easy to use, word gets around," adds Linkous. "Before you knew it, the Auto Loan and Business Services departments started using SwiftSend, even though they each had a different loan origination system. The really nice thing about SwiftSend is that, no matter what loan origination system or software you're using, if you can print, you can use it. This kind of versatility is extremely appealing and makes it very easy to spread usage around the organization."

Eastman Credit Union found SwiftView's pay-per-use pricing for SwiftSend very convenient. "We really like SwiftSend's billing groups feature," states Linkous. "I get the monthly bill, and it is broken down by department, so I don't have to try to figure out how much my department or each of the others is responsible for. Believe me, this is a bigger deal than it sounds!"

Eastman Credit Union expects to find other uses for SwiftSend throughout the organization. "We are also looking at using Swiftsend's secure electronic delivery in place of faxing in some cases. For example, we really don't like the idea of a payoff request sitting on a fax machine for other people to see."

"As we continue to grow and serve a larger area, the need for secure communications will also grow, and SwiftSend will be a key part of how we do it," states Linkous. "I am certain we will find even more uses for SwiftSend in the future."
