SwiftSend Secure Inbound Fax

SwiftSend Inbound Fax Extension for eLoanFolder makes collecting loan documentation from borrowers or third parties simple, secure, and 100% paperless. Any paper loan document, including tax returns, W2s, appraisals, signed disclosures, employment verifications, flood certificates, and credit reports, can now be faxed directly into a SwiftSend eFolder by anyone holding the document. It is as easy as copying the document and much more secure than faxing to a shared fax machine or attaching the document to an email. SwiftSend Inbound Fax is the most secure, most convenient way to receive faxes electronically.

How It Works

SwiftSend can provide you with one or more direct inbound fax numbers, each of which is associated with a dedicated eFolder.
The diagram below describes how faxes are received and managed.

Auto-routing Fax Cover Pages

SwiftSend's patent-pending permit technology enables lenders to use customized fax cover pages to route incoming faxes to a specific eFolder, as shown below.

Web Portal

Fax cover pages can also be made available on a web portal. For example, fax cover pages could be created for each broker, branch, loan officer, or originator. Hyperlinks to the cover pages could be posted on the portal. Borrowers can then click the hyperlink, print the cover page, and use it to fax loan documentation. The fax is automatically routed to the associated eFolder and the appropriate person notified.

Security and Convenience

Using SwiftSend, faxes are completely secure at all times from the moment they are faxed to the moment they arrive at the recipient's desktop. Unlike most services, there is never a gap in security.
  • Faxes are never routed by email. Only notifications, with encrypted hyperlinks are sent by email.
    • Email technology relies on routing by multiple intervening servers to reach the recipient's mail server. At each "hop," residual copies of the email and attachments can remain. This residual can be retrieved and hacked to reveal the contents. Even encrypted attachments, which may be difficult to hack today, can be saved and hacked in the future when more sophisticated hacking tools are available.

  • Recipients are required to log in to the SwiftSend service using their personal user name and password to access their faxes.
    • Security schemes using shared logins or encryption keys are vulnerable because the logins or encryption keys are often shared using email or other insecure means of communication.

  • SwiftSend downloads faxes over a secure link using 128-bit encryption, and never as an attachment to email.
    • This encryption is designed to make it virtually impossible to intercept transmissions from secure servers.

  • Electronic faxes cannot be left on unattended fax machines
    • Standard paper faxes can be retrieved from unattended fax machines by unauthorized personnel.

Document Separator

SwiftSend eLoanFolder includes an easy-to-use Document Separator tool that you can use to easily separate large faxes into multiple individual documents in the eFolder. In addition, upside-down faxes can be rotated and extraneous pages can be stripped from the document.
